Author instructions

1.   Final paper submission

If you have received a paper acceptance email from the TPC co-chairs, please use these author instructions to prepare your final camera-ready paper. The IEEE reserves the right to exclude a paper from distribution after the conference (e.g., removal from IEEE Xplore) if the paper is not presented at the conference.

At least one author is required to register, at the full rate, to present accepted papers at the conference and for the paper to appear in the proceedings.

Papers are reviewed on the basis that they do not contain plagiarized material and have not been submitted to any other conference at the same time (double submission). These matters are taken very seriously, and the IEEE Communications Society will take action against any author who has been engaged in either practice. Please see the IEEE Web Page on Plagiarism and the IEEE Web Page on Double Submission.

Papers can be of three types: Full papers up to 8 pages, Short papers up to 5 pages and Poster/demo papers up to 3 pages, including tables, figures and references. Papers accepted for a specific type will be required to be reduced to the accepted type pages length. Full papers accepted as short papers will be required to be reduced to 5-pages length.

Address all reviewers comments and revise your paper accordingly before submitting the final camera-ready version. Please make sure that all Figures are of high quality (preferably in .eps format) and their content is easily readable. Please make sure also that your paper contains no headers, and no page numbers. This information will be added by the editors. Proofread your source document thoroughly to confirm that it will require no revision.

2.   Guidelines for the final manuscript:  Full and Short papers

  1. All submissions must be written in English, the following page provide you access to free Word and LaTeX templates and to PDF instructions MS Word and LaTeX templates https://www.ieee.org/conferences/publishing/templates.html.
  2. Footers shall follow the IEEE format specifications as their template does use them, but do NOT put page numbers on the final PDF manuscript.
  3. Make sure that the title/author list is EXACTLY as in your final camera-ready paper.
  4. Before Creating a PDF: Add the copyright notice to the bottom of the first page of your source document. Proofread your source document thoroughly to confirm that it will require no revision.
  5. Use IEEE PDF eXpress to check Xplore-compatibility, and generate your PDF compliant version. See the details below. This is a mandatory step. Non- compliance will result in having your paper NOT published in the IEEE XPLORE.
    MPORTANT: Any changes made to a PDF after IEEE PDF eXpress conversion or PDF Checking may invalidate Xplore compatibility. This includes copyright notice, watermarks, etc. If any of these elements are desired, they should be added to the document before a PDF is created.
  6. Complete the Electronic copyright form that you will receive from IEEE directly.
  7. Upload to EDAS the final versions of the PDF eXpress-passed compliant camera-ready copy of your paper.
  8. The Deadline for the camera ready is 14-June-2021.

3. Creating your PDF eXpress Account

The final paper must be converted into PDF with settings compliant with the requirements of the IEEE Xplore digital library. To this purpose, the IEEE PDF eXpress plus web tool should be used. PDF files generated in a different way might not be IEEE Xplore-compliant and could be rejected. All PDFs to be included in IEEE Xplore® should be validated through PDF eXpress for Xplore compatibility.

Log in to the IEEE PDF eXpress site

First-time users should do the following:

1. Select the New Users – Click on the link.
2. Enter the following:

  • 52248X for the Conference ID
  • your email address
  • a password

3. Continue to enter information as prompted.

An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

4.   Copyright clearance code

The appropriate copyright clearance code notice is to appear at the bottom of the first page of each paper per the guidelines set forth in the Cataloging / Copyright Instructions for an IEEE Conference Proceeding. Detailed instructions can be found at: http://www.ieee.org/publications_standards/publications/rights/index.html

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-6654-2559-9/21/$31.00 ©2021 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-6654-2559-9/21/$31.00 ©2021 European Union
  • For all other papers the copyright notice is: 978-1-6654-2559-9/21/$31.00 ©2021 IEEE

You may want to first prepare your pdf, and then add the IEEE copyright notice separately using a pdf editing program. You can then re-print the document in pdf format and then validate it using IEEE PDF eXpress.

If you are preparing your paper in LaTeX and you are using the IEEEtran document class, this may help:

  • Add the following code before the \maketitle command:
    \IEEEoverridecommandlockouts
    \IEEEpubid{\makebox[\columnwidth]{978-1-6654-2559-9/21/\$31.00~\copyright2021 IEEE \hfill} \hspace{\columnsep}\makebox[\columnwidth]{ }}
  • Add the following code after the \maketitle command:
    \IEEEpubidadjcol
  • Make sure you use the appropriate IEEE copyright notice string, as explained above.

MS Word users can use:  ‘Insert’ → ‘Text box’, insert the appropriate copyright notice in the textbox, and place the box (without border) at the bottom left on the first page.

5.   IEEE e-copyright form

Authors of accepted papers must complete the IEEE eCopyright Form (eCF) before the deadline for the camera ready. One copyright form is required for each accepted paper. You should receive an invitation from IEEE to sign the eCF. Once signed, please download it, so that you re-upload it to EDAS (http://edas.info) by selecting the “My Papers” tab, then selecting the paper title, and finally clicking on the “+” sign corresponding to the “copyright form” field.

  1. Access the Publications Support Center for IEEE PDF eXpress at https://supportcenter.ieee.org/app/answers/list/p/12
  2. If you do not find an answer in the Find Answers tab, go to the Ask A Question tab.
  3. Your question will be forwarded to IEEE PDF Support and answered within 3  business days.
